Record keeping habits that protect mobile money agents

A mobile money shop runs on trust between the agent and the customer, and on numbers that add up at the end of the day. Most trouble does not come from one big mistake. It comes from small gaps that build up quietly.

Good record keeping starts before the first transaction. Note your opening float, and do it the same way every morning. When the starting point is clear, everything after it is easier to check.

Record each transaction once, while it is fresh. Amount, type, time, and a short note if something was unusual. A notebook can work, but only if it is used without gaps. How mobile money agents manage daily operations covers the wider routine.

Keep commissions separate from float. Mixing them is one of the fastest ways to lose track of what is actually yours. A simple split in your records solves most of it.

Reconcile at set times, not only at closing. Checking at midday catches a missed entry while you can still remember it. By evening, the details have faded.

Keep customer references where you can. A short note or a transaction ID helps when a customer returns with a question, and it protects you when there is a dispute.

Treat your records as yours. Whether you use paper or a tool such as MOMO Ledger, you should be able to see your float, money in, money out, and closing balance without doing maths in your head at the end of a long day.

No tool fixes sloppy habits, and no habit is perfect. But when the records are clear, problems surface early and small ones stay small. If that is where you want to get to, get in touch.
